What organisers ask us
The twelve questions that come up on nearly every first call. If yours is not here, ring (855) 817-3532 or write to the desk.
How many people make a group?
Most airlines set the threshold at ten travelling together on the same itinerary, though it varies by carrier and route. Below that, individual fares are usually the better tool — and we will tell you if that is your situation.
Do we need everyone's name to book?
Not to hold space. That is the main advantage of a group booking: a deposit secures seats and names follow by an agreed deadline, typically one to two months before departure. Individual fares need every name at purchase.
Is a group fare always cheaper?
No, and we will not pretend otherwise. A promotional individual fare can undercut a group rate. What group booking buys is certainty on the price and time to gather names — which is worth more than a few dollars per head when your roster is not final.
What happens if someone drops out?
Before the name deadline, usually straightforward — the seat can often be released or reassigned within the block. After ticketing, the ticket's own fare rules apply and a name change may cost money or be impossible. Tell us as soon as you know.
Can people fly from different cities?
Yes, and it is common. Each origin is priced separately onto a common routing. There is no requirement that everyone be on the same aircraft, only that arrival times land inside a workable window.
What about instruments, sports kit and equipment?
Excess and oversized baggage rules vary a lot and charges are per item, per direction. We confirm the operating carrier's policy and the specific charge in writing before your group commits to a routing.
Do travellers earn miles on a group fare?
Usually not in the normal way. Group fares commonly restrict accrual and upgrade eligibility. Tell travellers this up front so nobody is surprised at check-in.
Is the deposit refundable?
Generally not — that is what holds the space. The exact terms come from the airline and we confirm them in writing at the point of quoting so there is no ambiguity.
The airline moved our flight. What now?
Contact us with the group reference rather than having everyone call separately. If it is a cancellation or a significant change and you do not accept what is offered, travellers on US itineraries are generally entitled to a refund rather than a voucher. See the planning guide.
Can you help with hotels and ground transport?
We arrange air travel. We are happy to tell you what the flight schedule means for your ground plans, and to flag where a connection makes a transfer unrealistic, but hotels and coaches are not what we ticket.
We booked our flights somewhere else. Can you fix them?
No — only the seller who issued a ticket can change or refund it. We can explain what your options generally are and price an alternative if you need one, but we cannot touch someone else's booking.
What does an MSK reference look like?
References issued on this site begin with MSK followed by eight characters. The airline will also have its own six-character record locator, which is what travellers use on the airline's own site.
